Vendor Terms & Conditions

These Vendor Terms & Conditions (“Terms”) set out the rights and responsibilities between you (“Vendor”, “you”, or “your”) and Virtually Hebden (“we”, “us”, “our”) when you sell your products through our website www.virtuallyhebdenbridge.com.
1. Joining Virtually Hebden
To become a vendor, you must:
- Own or operate an independent business in or near Hebden Bridge
- Complete the onboarding process and provide accurate shop information
- Agree to our Terms of Service, Privacy Policy, and these Vendor Terms
As a Founding Member, you’ll receive early access, promotional support, and priority features. Founding status may be revoked for breach of terms or inactivity.
2. Your Products & Listings
You are responsible for:
- Listing your products clearly and accurately (title, description, price, stock)
- Uploading your own product photos or artwork with the correct permissions
- Ensuring all products comply with UK consumer laws, safety regulations, and trading standards
We reserve the right to remove or edit listings that violate platform rules or brand standards.
3. Orders & Fulfilment
As a vendor, you:
- Handle your own order fulfilment, shipping, and packaging
- Set your own delivery charges and timelines
- Agree to dispatch orders promptly and keep customers informed
You are liable for fulfilling customer orders accurately and resolving complaints promptly.
4. Returns & Refunds
You must publish a clear returns and refund policy on your vendor page. This must comply with UK consumer law, including:
- The 14-day right to cancel for online purchases (unless exceptions apply)
- Full refunds for faulty or misrepresented items
- Clarity on who pays for return shipping
If customers raise disputes, we will attempt to mediate in good faith.
5. Fees & Payments
- Payment is processed securely via Stripe.
- Platform commission and/or subscription fees will be agreed in writing.
- Payouts are transferred to your linked Stripe account at regular intervals.
You are responsible for:
- Your own VAT, taxes, and accounting
- Keeping your payment details up to date
6. Use of the Platform
You agree to:
- Treat customers and fellow vendors with respect
- Only promote legal and ethically sound products
- Not duplicate or copy other vendors’ listings or designs
We may suspend or terminate vendor accounts that breach our terms or damage the platform’s reputation.
7. Intellectual Property
You retain ownership of your product photos, descriptions, and branding. By listing them on our platform, you grant Virtually Hebden a non-exclusive, royalty-free licence to use them for:
- Promoting your shop
- Marketing Virtually Hebden across social media, email, and press
8. Sustainability & Community Values
We encourage vendors to:
- Minimise packaging waste and use eco-conscious materials
- Offer local pickup or bike delivery where possible
- Support other local businesses and share the word
This is a community-powered platform — collaboration is key.
9. Limitation of Liability
Virtually Hebden is not liable for:
- Lost, delayed, or damaged parcels
- Disputes between vendors and buyers
- Loss of income, data, or reputation
We provide the platform and tools but vendors are responsible for their business operations.
10. Leaving the Platform
You can deactivate your shop or pause sales at any time. We ask that:
- You complete all active orders and communicate clearly with buyers
- You give at least 14 days' notice if closing permanently
We may also remove inactive or non-compliant shops at our discretion.
11. Updates & Changes
These Terms may be updated from time to time. We’ll notify you in advance and your continued use of the platform implies acceptance.
